Key Responsibilities:

  1. Facility Management:
    • Oversee scheduling and logistics for vendors, clients, and visitors, ensuring adherence to safety and Good Manufacturing Practices (GMP).
    • Assist in planning and organizing corporate events and meetings to promote employee engagement.
    • Manage office supplies, IT resources, and mail distribution; collaborate with IT support for troubleshooting.
  2. Badge Management, Timekeeping, and Uniforms:
    • Administer the facility's security system and oversee badge issuance for staff and contractors.
    • Assist employees and temporary workers with badge and time clock processes.
    • Provide training for supervisors and new employees on timekeeping protocols and issue resolution.
    • Manage the uniform program and coordinate with external vendors.
  3. Support for Employee Safety Programs:
    • Maintain records of safety incidents and ensure follow-up on outstanding items under HR guidance.
    • Collaborate with Environmental Health & Safety (EH&S) on incident follow-ups, monthly reporting, and OSHA log maintenance.
    • Provide data and assistance for safety initiatives and programs.
    • Support the Safety Steering Team and Safety Committee activities.
  4. Recruitment, Onboarding, and Training:
    • Assist in recruiting efforts for both regular and temporary staff by liaising with staffing agencies and hiring managers.
    • Process onboarding and offboarding transactions in HRIS for temporary employees.
    • Schedule and facilitate new hire orientation for a comprehensive onboarding experience.
    • Prepare workstations for new employees and procure necessary supplies.
  5. Additional Responsibilities:
    • Perform other tasks as assigned.

Qualifications and Skills:

  • Experience: 2-4 years in an administrative capacity within a manufacturing setting. High School diploma is required.
  • Languages: Proficiency in English; knowledge of Spanish is highly desirable.
  • Skills:
    • Capability to manage multiple tasks and maintain organization.
    • Problem-solving abilities and a collaborative work approach.
    • Strong interpersonal communication skills.
    • Attention to detail and a focus on customer service.
    • Ability to handle confidential information responsibly.
  • Technical Proficiencies:
    • Proficient in Microsoft Windows, Word, Excel, and Outlook.
    • Experience with HRIS systems like UKG is advantageous.
    • Basic math and high school-level reading and writing skills.

Work Requirements:

  • May require extended hours based on operational needs.
  • Requires reliable transportation and occasional travel between facilities.
  • Moderate to high demand for meeting tight deadlines.
  • No overnight travel is required.

Physical Requirements:

  • Moderate bending, pushing, pulling, climbing stairs, reaching, lifting, and grasping (2-4 hours/day).
  • Continuous sitting, standing, walking, talking, communicating, and repetitive hand/wrist movement (6+ hours/day).
  • Good eyesight, normal hearing, fluent in English.

Working Conditions:

  • Indoor environment, with seasonal heat and humidity on the production floor.
  • Exposure to various fragrances at times.
  • Ability to move and lift objects up to 10 lbs.

Work Schedule:

  • 8-10 hour shifts, flexible based on operational and customer requirements.
  • May require an additional 5-10 hours per week beyond the standard schedule.
