Job Opportunity

Mosaic Companies, LLC is seeking a highly organized and detail-oriented Sales Support Specialist to join our team in Costa Mesa, CA. As a Sales Support Specialist, you will play a crucial role in supporting our Outside and Architectural Sales Account Executives with customer coordination, administrative organization, and processing of orders, payments, and inventory.

Key Responsibilities:

  • Support sales team in receiving, processing, and tracking purchase orders, sales orders, and invoices.
  • Act as liaison with billing and customer accounts.
  • Offer exceptional service to clients in the showroom.
  • Follow up with clients after their preliminary visit to gather information for the Customer Info Form, schedule future visits, and gather feedback for customer experience.
  • Answer phones and greet clients as they enter the showroom, enter client information in the system, and maintain visitor logs.
  • Coordinate bids, projects, and shipments. Place price quotes and orders.
  • Maintain order files by mailing sample and catalog requests.
  • Assist with showroom checklists.
  • Perform cashier duties, such as processing payments, applying payments to open orders following assigned procedures. Send open invoices to clients. Perform register counts daily.
  • Notify Sales and Warehouse if orders are changed or cancelled.
  • Ability to work Saturdays on a rotating shift to support the Sales Team.
  • Other duties as assigned.

Requirements:

  • Excellent organizational and client service skills.
  • Detail-oriented, able to work independently or with a team, and possess great problem-solving skills.
  • Excellent verbal and written communication qualities.
  • Able to work on multiple projects at the same time.
  • Able to navigate systems and tools (Outlook, Excel, Word, etc.).
