Position Overview
The Service Coordinator plays a vital role in enhancing operational efficiency at the Pattons branch by delivering administrative support with an emphasis on customer satisfaction, responsiveness, precision, and thorough follow-up.
Key Responsibilities:
- Provide administrative assistance, including maintaining both electronic and physical records, logs, and files pertinent to branch operations.
- Create, monitor, and input documentation such as service agreements and expenses related to service calls into the Enterprise Resource Planning (ERP) system.
- Address customer and vendor inquiries via phone and email.
- Generate, distribute, and monitor customer invoices and credit memos.
- Assist in the collection of outstanding invoices from customers.
- Act as a backup to the service manager for scheduling and dispatching field service jobs.
- Manage record requests for audits and other inquiries.
- Provide backup support for customer parts requests.
- Perform additional tasks as assigned.
The Service Coordinator position may align with your skills if you possess the following minimum qualifications:
- A minimum of a two-year degree or three years of relevant experience.
- At least two years of experience in an administrative support role and one year in a customer-facing position.
- Proficiency in Microsoft Office applications, particularly Excel and Outlook.
- Strong written and verbal communication abilities.
- Exceptional customer service skills.
- Experience with an Enterprise Resource Planning (ERP) system.
- Strong organizational, time management, and prioritization skills in a dynamic environment.
- A keen attention to detail.
