Position Summary

You will assist the General Manager in executing marketing strategies, manage various administrative tasks related to membership, including billing inquiries and member support, and undertake additional administrative responsibilities as directed by the General Manager.

Key Responsibilities

  1. Respond to incoming calls during business hours, providing assistance to members and guests or directing them to the appropriate departments.
  2. Welcome and assist members and guests with a friendly and professional demeanor to foster a positive image of the club.
  3. Manage member billing processes and ensure timely distribution of statements; collaborate with the General Manager to address any billing discrepancies.
  4. Design and distribute engaging weekly emails to members, featuring information about upcoming events and important updates as instructed by the General Manager.
  5. Provide courteous assistance to members and guests regarding various requests, including reservations and billing inquiries.
  6. Maintain an accurate record of event bookings using the designated tracking system; assist with external event bookings when necessary.
  7. Conduct facility tours for potential members and event hosts in the absence of the appropriate department head.
  8. May update weekly reports for company records as requested by the General Manager.
  9. Conduct follow-up calls with event hosts at specified intervals leading up to their events, sharing relevant details with department heads.
  10. Post regularly on various social media platforms and manage advertisements, collaborating with the General Manager to execute the social media marketing strategy.
  11. Keep the Members' section of the club's website updated with fresh news, photos, and event information.
  12. Create and distribute departmental email blasts using content provided by department heads, ensuring alignment with the club's branding and messaging.
  13. Oversee event management software by updating relevant information and tracking attendance.
  14. Design promotional materials for upcoming events in accordance with the marketing strategy and club image.
  15. Assist the General Manager with outreach marketing efforts, which may include attending networking events and visiting local businesses.
  16. Perform additional duties as assigned by the General Manager or department heads.
  17. Maintain confidentiality regarding club, member, and guest information.
  18. Exhibit a commitment to the club's success by being service-oriented, fostering positive interactions with staff and members, and meeting established quality and safety standards.
  19. Regular and punctual attendance for all scheduled shifts is essential.

Qualifications

  1. Exceptional interpersonal skills with a focus on delivering outstanding member and guest service.
  2. Familiarity with social media platforms such as Facebook, Twitter, and Instagram.
  3. Ability to create innovative and engaging marketing content.
  4. Proficient in various software applications, including Word, Excel, PowerPoint, and Photoshop.
  5. Strong written communication skills with a keen eye for grammar.
  6. Excellent organizational skills with the ability to manage multiple tasks effectively.
  7. Basic understanding of accounting and bookkeeping principles.
  8. Attention to detail and accuracy in all tasks.

Education and Experience

  1. A bachelor's degree in marketing or a related field.
  2. Two years of prior experience in administration and/or marketing.
  3. Equivalent combinations of education and experience may be considered.

Physical Requirements

  • Ability to read documents and communicate effectively in person and over the phone.
  • Occasional standing and walking.
  • Ability to perform tasks requiring dexterity, such as typing and writing.
  • Ability to lift items weighing more than 10 pounds occasionally.
