We are currently seeking a skilled Intellectual Property Legal Secretary/Legal Assistant to support our client's esteemed law practice.

Key Responsibilities

  • Deliver comprehensive legal secretarial assistance to attorneys and patent professionals within the Intellectual Property division.
  • Engage in the creation of templates for Office Action responses, manage the preparation and electronic submission of documents, and provide support for various filings as mandated by regulatory authorities.
  • Oversee timekeeper docket reports and maintain meticulous docket notes to ensure that IP timekeepers are informed of impending deadlines and their statuses.
  • Facilitate communication from regulatory bodies to attorneys and clients, ensuring timely responses to inquiries.
  • Conduct research and generate updates on case statuses and IP timelines for clients and legal teams.
  • Access and investigate various patent databases to support case management.
  • Initiate new matters, review and adjust client invoices, manage communications, process expense reports, and coordinate travel arrangements while maintaining organized electronic files.
  • Provide backup secretarial support during unforeseen absences of IP legal secretaries.

Qualifications

  • A minimum of 5 years of legal secretarial experience in patent prosecution is essential, along with a comprehensive understanding of regulatory rules and procedures.
  • Possess an in-depth knowledge of U.S. Patent and Trademark Office regulations and filing processes for both domestic and international patent prosecution.
  • Proficient in advanced MS Office Suite and Adobe Acrobat applications.
  • Exhibit exceptional client service, communication, organizational, and time management capabilities.
  • We are looking for a proactive IP legal secretary who is a collaborative team member with excellent interpersonal skills and a strong work ethic.
  • A Bachelor's degree is preferred.
