POSITION OVERVIEW
Deliver comprehensive administrative assistance to designated senior executives, encompassing calendar oversight, travel logistics, presentation preparation, and expense documentation. Oversee the daily tasks of a small team of administrative professionals.
Key Responsibilities:
- Recruit, train, and manage a team of 1-3 administrative staff.
- Organize and schedule intricate activities, meetings, travel, conferences, and departmental functions.
- Execute calendar management, coordinating meetings and calls effectively.
- Draft written communications, announcements, and presentations.
- Handle sensitive information with utmost confidentiality.
- Serve as a project manager for special initiatives.
- Plan and facilitate Senior Management Meetings, Summit Meetings, and Sales Conferences, including venue selection, travel arrangements, and all related activities.
- Receive and disseminate press releases and general information.
Qualifications:
Education:
- High School Diploma required; Bachelor's degree is highly preferred.
Experience:
- 5-7 years of experience in executive administrative roles is required.
- 2-3 years of experience in a leadership capacity is strongly preferred.
Professional Competencies:
- Exceptional verbal and written communication abilities.
- Ability to maintain the highest standards of confidentiality.
- Meticulous attention to detail and strong organizational skills.
- Capability to interact effectively with all departments and represent senior leadership professionally.
- Proven ability to communicate effectively with clients and external stakeholders.
- High proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Demonstrated leadership capabilities.
- Ability to cultivate strong relationships with both internal and external stakeholders.

- Ability to thrive in high-pressure situations and meet tight deadlines.
- Capacity to manage multiple priorities simultaneously.
- Some travel may be necessary.
Physical Requirements:
- Regularly required to use hands for various tasks and communicate verbally.
- Frequent sitting for extended periods and regular use of the telephone.
- Regularly required to stand, walk, and reach with hands and arms.
- Must be able to lift and/or move up to 25 pounds. Specific vision abilities required include close vision and the ability to adjust focus.
