Position Summary

The Fleet Operations Coordinator plays a crucial role in overseeing fleet management. This position is responsible for developing and implementing effective procedures and policies related to truck orders, sales, funding, in-service processes, and billing, all aimed at optimizing return on investment.

Key Responsibilities

  1. Maintain a comprehensive fleet inventory for use by management, accounting, sales, rental, and administrative teams.
  2. Prepare monthly lease billing, sales invoices, and asset acquisition documents for both new and used Paclease and Transport Rental equipment.
  3. Collaborate with shop managers and sales personnel to ensure accurate accounting of additional invoices, including managing the purchase order process for both internal and external expenses.
  4. Assist sales staff with contract documentation, ordering processes, and funding requirements.
  5. Generate funding documentation for all new leases, including unit files, loan agreements, in-service paperwork, business system setup, and documentation management.
  6. Monitor interim interest, vidlogs, and other monthly expenditures.
  7. Support the Corporate Paclease Director and Paclease Director of Service with month-end data compilation and reporting.
  8. Manage and maintain unit files for all new and used inventory, accumulating costs to prepare accurate lease/sales summaries and commission reports.
  9. Contribute to the annual business planning process.
  10. Coordinate and enforce safety policies as the designated Paclease safety representative.
  11. Work collaboratively with all departments within the Paclease operation.
  12. Perform additional tasks as assigned to support the Corporate Paclease Director and management team.

Qualifications

  • Ability to read and understand instructions and information.
  • High school diploma required; college degree preferred or equivalent experience.
  • Professional appearance is essential.
  • Strong communication and organizational skills are necessary.
  • Proficiency in Microsoft Office is required.

Working Conditions

The Fleet Operations Coordinator will work in both indoor and outdoor environments, primarily focusing on administrative tasks. This role involves frequent movement throughout the dealership to engage with dealer managers, employees, and customers. Excellent communication skills are vital. The position requires the ability to climb in and out of trucks regularly and perform physical tasks such as bending, stooping, kneeling, crouching, reaching, and feeling. Exposure to noise, vibration, dust, paint, and various materials is expected. Additionally, extensive time will be spent at a desk, reviewing detailed reports, inputting data, managing calls, and maintaining information systems.
