Job Summary

We are seeking a highly skilled Accounts Payable Supervisor to join our team at Ghertner & Co., Inc. as a key member of the finance department.

About the Role:

The successful candidate will be responsible for overseeing the Accounts Payable team, ensuring timely payment of invoices, and maintaining accurate vendor records. This role requires strong leadership skills, attention to detail, and excellent communication abilities.

Key Responsibilities:
  • Supervise and mentor Accounts Payable staff, providing guidance and support to ensure the team meets company standards and processing times.
  • Validate timely payment of invoices and ensure accuracy of all invoice requirements, including corporate lien waiver requests, vendor contracts, and accurate coding of vendor invoices.
  • Provide exceptional customer service to vendors, property managers, team leads, and leadership, both internally and externally.
  • Perform quality control reviews of HOA payments submitted by Payables Processors and Payables Coordinator, ensuring accurate GL account coding, avoiding duplicate payments, entering payables, and verifying payee contact information.
  • Ensure invoices are paid accurately, with manager approval where necessary, within 5 business days of receipt.
  • Assist with daily processing of debit or credit card receipts, Association Check Requests, and assist with proper configuration and setup of association-specific vendors and payment preferences.
  • Conduct daily processing of vendor payments by ACH, check, or Auto draft, managing the payment order for low-fund associations to ensure proper order of payment processing.
Requirements:
  • Bachelor's Degree in Accounting or Finance or an additional 4 years of equivalent experience is required.
  • 7 years of Accounts Payable experience and 2 years of supervisory experience of Accounts Payable associates are necessary.
  • Experience in the HOA or Property Management industry is a plus.
  • Knowledge of accounting principles, practices, and procedures is essential.
  • Ability to problem-solve, research, prioritize, and manage multiple projects and critical deadlines is required.
  • Proficient in relevant computer applications, including Excel and Word, is necessary.
  • Professional communication skills, including phone, interpersonal, written, and verbal skills, are essential.
  • Ability to meet deadlines, self-motivation, teamwork, and leadership skills are necessary.
  • Strong research and troubleshooting skills are required.
  • Strong organizational skills are essential.

Salary Estimate: $80,000 - $110,000 per year, depending on location and experience.
