Overview:

Welcomes, guides, and schedules patients and visitors, acting as a vital link between patients and healthcare personnel. Assists with various clinic operations, verifies insurance details, and facilitates referrals. Manages payment collections and prepares cash for deposits.

Key Responsibilities:

  • Ensures a smooth patient check-in process, confirming demographic and insurance details, and accurately entering them into the database.
  • Handles phone inquiries, takes messages, and provides assistance to both patients and staff.
  • Responds promptly to requests for patient account adjustments and maintenance.
  • Books patient appointments following physician protocols.
  • Collects payments at the time of service, manages prior balances, and sets up payment plans as needed.

Additional Duties May Include:

  • Checking in patients, verifying and updating necessary medical record information, and assisting patients with required forms.
  • Scheduling appointments according to clinician templates while adhering to office policies.
  • Supporting front office leadership with administrative tasks, including handling denials and correcting errors to ensure accurate claims.
  • Screening visitors and addressing routine information requests.
  • Complying with CHRISTUS Health guidelines related to the Health Insurance Portability and Accountability Act (HIPAA) to safeguard Protected Health Information (PHI).
  • Maintaining confidentiality at all times.
  • Utilizing effective oral and written communication skills to convey information clearly and positively, in alignment with the CHRISTUS Mission.
  • Adhering to established CHRISTUS Health policies, procedures, objectives, and quality assurance standards.
  • Executing job responsibilities in a manner consistent with the CHRISTUS Mission and Code of Ethics, while supporting cultural diversity initiatives.
  • Upholding and adhering to the CHRISTUS Service Guarantee.
  • Performing other related tasks as assigned by management.

Qualifications:

  • High school diploma or equivalent required.
  • Familiarity with managed care is preferred.
  • Proficient in operating a 10-key calculator, telephone, computer, copier, and fax machine.
  • Strong interpersonal and communication skills, along with solid mathematical abilities, are essential.
  • Some college education is preferred.
  • A minimum of three years of experience in a healthcare setting is required.
  • Advanced knowledge of ICD9 and CPT coding is preferred, along with experience in charge posting or collections.
