The Business Office Director is responsible for overseeing the daily operations of the Concierge department and is instrumental in cultivating and enhancing relationships between the community, residents, and their families. This position manages and administers the community's accounting systems, human resources functions, and plays a vital role in communication during emergencies.
Key Responsibilities:
- Foster positive relationships with current and prospective residents and their families by addressing unique inquiries regarding the community.
- Effectively communicate and resolve resident concerns and complaints to minimize move-outs, under the guidance of the Executive Director.
- Administer and oversee community accounting functions, including accounts receivable, collections, accounts payable, and management reporting.
- Collaborate with the Home Office to ensure timely submission of all resident billing aspects for move-ins, move-outs, or transfers.
- Coordinate interviews, background checks, employee physicals, and assist with FMLA or other leave occurrences.
- Manage all payroll functions, including generating payroll reports, confirming hours worked, and ensuring timely processing of payroll information.
- Oversee employee benefit programs, ensuring clear communication of plan details and eligibility, timely enrollments, and terminations.
- Work with relevant Department Directors to ensure comprehensive training and orientation for new associates, maintaining accurate employee files.
- Lead, develop, and evaluate the Concierge department in alignment with community policies and procedures.
- Collaborate closely with the Executive Director, Department Heads, and Home Office on community-related legal matters.
- Ensure compliance with regulatory standards through OSHA and Clearwater Living protocols, reporting any issues promptly.
- Manage departmental operations within budgetary constraints, track inventory, and order supplies as necessary.
- Perform additional duties and tasks as assigned or required.
Qualifications:
- AA or Bachelor's degree preferred, or a combination of education and experience in a supervisory role within a senior living or hospitality setting.
- Five to seven years of experience in senior living, hospitality, or a related field.
- Two to three years of supervisory experience.
- Fundamental accounting knowledge preferred.
- First Aid/CPR/BLS Certification required.
- Background clearances as mandated by government regulations.
- Must meet health requirements, including TB and COVID-19 screenings.
