Role Summary:

The Production Operations Specialist will assist in the production processes for our Gina Concepts division, reporting directly to the Vice President of Production and the Divisional Vice President of Concepts. This role requires close collaboration with vendors, design teams, product development, packaging, quality assurance, and sales departments. The specialist will serve as a key support figure in managing cost negotiations, overseeing order creation and management, and ensuring timely delivery of high-quality, profitable products while achieving other operational objectives.

Key Responsibilities:

Vendor Management:

  • Engage in daily communication and follow-ups with international vendors.
  • Facilitate stock and customer inquiries directed to vendors.
  • Request and evaluate pricing from vendors.
  • Negotiate costs and compute landed costs to assess profit margins.
  • Coordinate between sales and production for special customer requests, including testing and packing specifications.
  • Assist in ensuring timely deliveries.

Reporting & Administrative Tasks:

  • Develop and maintain a seasonal production calendar.
  • Manage work-in-progress charts as necessary.
  • Oversee style master setup and maintenance.
  • Handle purchase order entries.
  • Identify appropriate HTS codes for all products.
  • Review and maintain test reports.
  • Manage master charts by brand, encompassing all style information.
  • Conduct various reporting tasks, including markdowns, inventory analysis, sell-through rates, and seasonal sales forecasts.

Logistics & Operations:

  • Request estimated carton dimensions and CBMs from vendors for compliance uploads into our ERP system.
  • Monitor orders and maintain a master booking sheet for the sleepwear division, noting cargo readiness dates and order priorities.
  • Evaluate delay requests from overseas offices and factories, checking affected sales orders and communicating updated due dates to sales teams.

Sales Assistance:

  • Ensure availability of catalogs in the system for the sales team.
  • Manage sample distribution to the showroom and stockroom.
  • Complete customer specification sheets as required.
  • Input customer SKUs and other relevant information into our ERP system.
  • Submit work orders to the outbound team as necessary.
  • Monitor inventory and available-to-sell reports.
  • Review daily inventory allocation reports.
  • Analyze and resolve any allocation discrepancies.
  • Coordinate with logistics on shipping-related matters.

Qualifications:

  • 2-5 years of relevant experience.
  • Exceptional organizational and detail-oriented skills.
  • Able to thrive in a fast-paced environment and manage multiple tasks.
  • Strong verbal and written communication abilities.
  • Analytical mindset with robust mathematical skills.
  • Familiarity with product development and production processes.
  • Knowledge of line plans, time & action calendars, and WIP reports.
  • Experience with ERP and PLM systems is advantageous.
