Job Summary

We are seeking a highly skilled and customer-focused Customer Relations Representative to join our team at the City of Blue Springs. As a key member of our staff, you will be responsible for providing exceptional customer service, managing membership records, and ensuring the accuracy of billing records.

Key Responsibilities
  • Facilitate and oversee the ordering, record keeping, and budgeting for the department's participation in the Missouri Parks and Recreation Association's ticket consignment program.
  • Administer the RecTrac program, ensuring accurate data and addressing any software issues/updates with the vendor.
  • Attend assigned meetings of the Park Commission and other Boards and Commissions as assigned, preparing and distributing agendas, recording, preparing, and maintaining minutes of meetings, and distributing them to appropriate officials, staff, and public.
  • Primary contact for shelter rentals and associated reports.
  • Maintain files and records of the department, ensuring records are kept and destroyed according to legal guidelines.
  • Schedule and provide daily work task supervision of part-time Front Desk Attendants at the Blue Springs Fieldhouse, ensuring employees are trained appropriately, handling employee issues, and consulting with the manager, director, or human resources as needed.
  • Respond to inquiries from the public, answer questions, and provide information whenever possible, referring to appropriate staff when necessary, and provide tours to prospective members.
  • Accept registrations and payments for programs, memberships, and facility reservations.
  • Assist with administrative tasks and special projects, including data entry, reporting, mailings, filing, typing letters, memoranda, reports, and other documents.
  • Maintain the front desk area in a clean and organized manner.
  • Attend appropriate staff trainings and ensure policies and procedures are followed.
  • Assist with other duties as assigned.
Requirements
  • High school diploma or equivalent, with two years of business college studies preferred.
  • One to three years of experience in a related field, supervisory experience preferred.
  • Skill in operating general office equipment, such as computers, phones, copy machines, and experience with Microsoft Office suite, including Word, Excel, Outlook, and Access.
  • Knowledge of general office procedures and excellent customer service skills.
  • Ability to establish and maintain effective working relationships with city officials, employees, and the public.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to maintain clerical records and prepare reports.
  • Ability to perform tasks with minimum supervision.
  • Ability to follow oral and written instructions.
Physical Requirements

Must be able to sit for prolonged periods, listen to normal conversation, walk occasionally, use hands and fingers to operate, handle, or feel objects, tools, or controls, reach with hands and arms, have vision sufficient to see close up and have the ability to adjust focus, and occasionally lift up to 25 pounds and transport it 15 feet.
