Receptionist Job Description

Forrest Solutions is seeking a sophisticated and engaging Receptionist to support our global law firm client in Miami. This prestigious client is known for its commitment to excellence and client satisfaction, and we are looking for someone who can uphold these high standards by delivering an exceptional guest experience.

Key Responsibilities:
  • Frontline Representation: Serve as the first point of contact for all clients and visitors at our global law firm client's office, providing a warm and professional welcome.
  • Anticipate Needs: Proactively manage reception duties by anticipating the needs of guests and staff, ensuring a seamless and exceptional experience.
  • Guest Experience: Curate an environment where every guest feels valued, offering refreshments, managing visitor logs, and coordinating meeting arrangements.
  • Communication: Handle incoming calls and emails with the highest level of professionalism, directing inquiries to the appropriate parties with efficiency and care.
  • Administrative Support: Assist with scheduling, document preparation, and other administrative tasks as needed to support the smooth operation of the office.
  • Office Coordination: Manage conference room bookings, coordinate catering for meetings, and ensure the reception area is always immaculate and welcoming.
Requirements:
  • Experience: Minimum of 3 years of experience in a similar role, preferably in a legal or corporate environment.
  • Proactive Attitude: Demonstrated ability to anticipate needs and be one step ahead in ensuring an exceptional guest experience.
  • Sophistication: Strong interpersonal skills with a polished, professional demeanor that reflects the high standards of our global law firm client.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to engage with clients, staff, and visitors effectively.
  • Attention to Detail: Meticulous in managing tasks, with a keen eye for detail and a commitment to excellence.
  • Technology Proficiency: Comfortable using office technology, including phone systems, email, and scheduling software.
