POSITION OVERVIEW: The Asset Management Accountant is responsible for accurately documenting newly-acquired tangible and intangible assets, overseeing the maintenance of existing assets, calculating depreciation, and managing the disposal of fixed assets for the organization and its affiliates. This role also entails processing utility invoices and maintaining a comprehensive utility register, ensuring proper documentation for the organization and its affiliates.

KEY RESPONSIBILITIES:
The following statements outline the essential functions and responsibilities associated with this position. This is not an exhaustive list of all duties, responsibilities, and skills required.

Fixed Asset Responsibilities
  • Establish, implement, and oversee a control system for the recording and disposal of fixed assets.
  • Collaborate with IT and Procurement teams to assign identification numbers to all fixed assets and vehicles.
  • Document fixed asset acquisitions and disposals in the accounting system and ensure accurate supporting documentation.
  • Reconcile the fixed asset subsidiary ledger with the general ledger.
  • Calculate and document depreciation for all fixed assets.
  • Conduct regular impairment assessments for intangible assets.
  • Provide management with recommendations regarding asset disposals.
  • Ensure timely transfer entries for asset conversions.
  • Monitor expenditures for fixed assets against capital budgets.
  • Prepare audit schedules related to fixed assets and assist auditors as needed.
  • Conduct ad hoc analyses related to fixed assets upon request.
Utility Management Responsibilities:
  • Develop, implement, and maintain a utility register that includes account details, meter numbers, addresses, and monthly consumption.
  • Maintain billing records to ensure accuracy in readings and charges.
  • Identify and assist in resolving utility-related issues.
  • Ensure timely processing of all utility invoices, including data entry and uploads.
  • Coordinate with the financial team to reconcile all utility accounts, ensuring that credits are applied to the correct addresses.
  • Track any missing utility bills and invoices.
  • Implement automated billing processes to facilitate the ingestion of bills from utility providers.
  • Ensure all bills are scanned and uploaded into the accounting system.
Additional Responsibilities:
  • Perform month-end and year-end closing activities, including journal entries and variance analyses.
  • Conduct monthly balance sheet reconciliations.
  • Collaborate with the inventory team to conduct physical asset counts.
  • Assist with financial reporting for management and relevant stakeholders.
  • Support year-end audits, including financial and compliance audits.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • A minimum of three years of relevant experience in finance or accounting, with significant exposure to month-end closing and balance sheet reconciliations.
