Job Summary

The Admissions & Records Supervisor is a key member of the Santa Barbara City College team, responsible for overseeing the daily operations of the Admissions & Records department. This role involves coordinating communications, supervising staff, and ensuring the accuracy and completeness of student records and files.

Key Responsibilities
  • Organize and direct the operations of the Admissions & Records department, ensuring compliance with college policies and procedures.
  • Supervise and train staff, including student workers, to ensure they have the necessary skills and knowledge to perform their duties effectively.
  • Coordinate communications with students, faculty, and staff to resolve issues and answer questions related to student enrollment and records.
  • Ensure the accuracy and completeness of student records and files, including enrollment and application information.
  • Develop and implement policies and procedures to improve the efficiency and effectiveness of the Admissions & Records department.
  • Monitor and assess the department's performance, identifying areas for improvement and implementing changes as needed.
  • Participate in the development and implementation of college-wide initiatives and projects, as assigned.
Requirements
  • Bachelor's degree in a related field, such as sociology, social work, or psychology.
  • At least one year of experience working with secondary and post-secondary school-aged students in an educational setting.
  • Three years of experience in student admissions, registration, or related functions.
  • Valid California driver's license.
  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of students and staff.
Preferred Qualifications
  • Three years of increasingly responsible experience in admissions, registrar, or records management roles within a higher education institution.
  • Two years of experience in a supervisory role, with the ability to lead, train, and motivate a team.
  • Experience with student information systems, such as Banner, PeopleSoft, or Colleague.
  • Ability to work evenings and weekends, as needed.
Working Conditions

The Admissions & Records Supervisor will work in an office environment, with constant interruptions and occasional driving required to conduct work.

Knowledge and Abilities
  • Knowledge of organization and direction of department operations and activities.
  • Knowledge of technical practices, procedures, and techniques involved in student enrollment and registration.
  • Knowledge of college and state standards and requirements concerning student enrollment and registration.
  • Ability to organize and direct department operations and activities.
  • Ability to coordinate communications and supervise staff.
  • Ability to interpret, apply, and explain applicable laws, codes, regulations, policies, and procedures.
