The ideal candidate will have a strong background in administration, with a focus on document management, organizational skills, and attention to detail. They will be responsible for coordinating the administrative workflow of the Division, including drafting documents, proofreading and editing documents, and maintaining accurate records.

  • Key Responsibilities:
  • Coordinate the administrative workflow of the Division, including document management and administrative tasks.
  • Draft and edit routine correspondence on administrative matters, proofread and edit documents, and maintain correct grammar, spelling, and punctuation.
  • Organize, file, and retrieve documents from physical and electronic repositories, ensuring proper record keeping.
  • Monitor and respond to emails, client requests, and track deadlines.

The successful candidate will also be expected to:

  • Maintain the Division's Teams site, Sharepoint, and intranet pages.
  • Assist in providing administrative support and oversight for the Department's Intranet and Teams sites.
  • Create and maintain Standard Operating Procedure (SOP) notes and other tools to manage and track administrative data and processes.
  • Liaise with relevant departments to resolve issues and ensure compliance with policies.

Requirements: A high school diploma or equivalent, supplemented by a minimum of six years of relevant experience, including at least two years in a lead role. The selected candidate must possess excellent administrative skills, high proficiency in MS Word, Excel, and Outlook, and excellent work management skills. Excellent interpersonal skills and ability to establish and maintain cooperative working relationships are essential. The ability to produce accurate work under pressure and adapt to changing deadlines is also required.
