Primary Function/General Purpose of Position
The Staffing and Scheduling Operations Coordinator is responsible for overseeing all aspects of scheduling, staffing, and timekeeping for designated areas of responsibility. This includes the creation and modification of schedules, management of timecards, and mobilization of personnel to address immediate staffing needs that arise with less than 24 hours' notice (such as cancellations, adjustments, and management of unexpected vacancies). This role requires proficiency in an electronic staffing system and necessitates effective communication with various stakeholders and leadership.
Essential Job Functions
- Develop and modify schedules for nursing departments within the electronic scheduling platform, adhering to all organizational policies and guidelines. Assign specialized roles based on each unit's operational requirements.
- Generate accurate daily and/or shift work schedules that reflect anticipated needs in collaboration with nursing management.
- Evaluate and respond to all scheduling requests based on skill mix and unit requirements, ensuring appropriate communication with unit managers.
- Finalize and distribute schedules at the conclusion of the self-scheduling period to ensure comprehensive coverage of skill sets for operational efficiency; assess vacancy rates for various roles and post incentive shifts in line with the incentive policy.
- Modify schedules as necessary to meet operational demands by either acquiring additional personnel or reducing scheduled staff. Engage available staff to fulfill unit care requirements by utilizing available resources to cover open shifts.
- Within 24 hours of a shift, assess complex departmental staffing needs and arrange suitable coverage, communicating effectively with the units.
- Handle sick call notifications and manage unplanned shift vacancies; analyze overall market staffing to identify needs for recruiting personnel for open shifts, leveraging technology to optimize inpatient resources while minimizing financial impact.
- Maintain daily updates of unit/department schedules within the electronic staffing system and effectively communicate urgent staffing needs to nursing management or their designee.
- Review and approve or deny all timecard requests, ensuring appropriate communication with unit managers.
- Prepare timecards for managerial approval, ensuring accuracy and addressing any discrepancies.
- Maintain records, files, and reports related to staffing, distributing necessary reports to relevant leaders as directed by management.
- Assist in the allocation of agency resources and perform other related duties as assigned concerning contract labor.
