Position Overview: The Intake Coordinator plays a vital role in ensuring seamless patient experiences and robust provider relationships by coordinating the intake process for new and existing patients. This position involves collaboration with administrative and clinical teams to guarantee efficient and accurate patient chart management, information requests, and quality assurance.

  • Patient Referrals: Receive, organize, and process new patient referrals in a timely and efficient manner.
  • Chart Management: Ensure patient charts are complete, updated, and accurate according to company protocols, maintaining confidentiality and adhering to HIPAA regulations.
  • Information Requests: Handle release of information requests, including retrieving and transmitting medical records with precision and confidentiality.
  • Quality Assurance: Perform quality checks to ensure the accuracy and confidentiality of released information, upholding the highest standards of patient care.
  • Customer Service: Provide exceptional customer service, addressing client concerns proactively and ensuring a positive patient experience.
  • Team Collaboration: Work collaboratively with all team members to achieve our goal of excellent patient care, fostering a culture of teamwork and open communication.
  • Regulatory Compliance: Stay updated on state laws and fee structures, ensuring adherence to HIPAA, state/federal regulations, and labor laws.
  • Medical Records Management: Create and maintain accurate and secure medical records, coding patients' medical information for reimbursement purposes.
Requirements:
  • High School Diploma (GED) required; undergraduate degree or equivalent experience preferred.
  • Minimum of 2 years experience in a medical records department or similar setting.
  • Strong working knowledge of Medicare policies and procedures.
  • Proficiency in Microsoft Word and Excel; experience with EMR systems.
  • Excellent organizational skills and attention to detail.
  • Ability to type 50 wpm and use office equipment like fax, copier, and scanner.
  • Self-motivated, team player with proven customer satisfaction skills.
  • Ability to multi-task in a fast-paced environment.
