Position Overview:
The Front Office Coordinator plays a vital role in delivering outstanding service to guests during their stay. This position is essential for maximizing room revenue and ensuring a smooth check-in and check-out process.

Key Responsibilities:

  • Respond to guest inquiries regarding local attractions, dining options, and transportation.
  • Adhere to all cash handling and credit policies.
  • Maintain knowledge of current rates, packages, and special promotions.
  • Be familiar with in-house groups and events.
  • Understand closed-out and restricted dates.
  • Gather necessary information for room reservations and follow the rate-quoting procedure.
  • Utilize hospitality terminology effectively.
  • Know emergency procedures and assist as needed.
  • Handle check-ins and checkouts in a friendly and efficient manner.
  • Communicate with team members using proper radio etiquette.
  • Operate all relevant aspects of the Front Desk computer system competently.
  • Complete all tasks on the shift checklist promptly.
  • Conduct bucket checks, room rate verification reports, and housekeeping reports.
  • Prepare and balance individual paperwork for shift closure according to hotel standards.
  • Promote and maintain guest programs and promotions.
  • Keep the work area clean and organized.
  • Assist guests with safe deposit box inquiries.

Qualifications:

  • College coursework in a related field is beneficial.
  • Previous experience in a hotel or similar environment is preferred.
  • A high school diploma or equivalent is required.
  • Proficiency in computer usage is necessary.
  • Experience in customer service is advantageous.
  • Maintain a warm and friendly demeanor at all times.
  • Effective verbal and written communication skills are essential.
  • Ability to listen to and clarify concerns raised by guests and team members.
  • Capable of multitasking and prioritizing tasks to meet deadlines.
  • Approach all interactions with guests and colleagues in a courteous and service-oriented manner.
  • Regular attendance in compliance with hotel standards is required.
  • Maintain high standards of personal appearance and grooming.
  • Comply with hotel standards and regulations to ensure safe operations.
  • Identify problem areas and assist in implementing solutions.
  • Handle issues proactively, including anticipating and resolving concerns.
  • Understand and apply complex information from various sources.
  • Willingness to cross-train in other hotel-related areas.
  • Maintain confidentiality of sensitive information.
  • Show initiative in anticipating guest and operational needs.
  • Perform additional duties as assigned by management.
