Job Title: Account Representative

At Virtual, we are seeking a highly organized and detail-oriented Account Representative to join our team. As an Account Representative, you will be responsible for managing tenant accounts, ensuring timely collection of payments, and resolving financial discrepancies.

Key Responsibilities:
  • Account Monitoring and Collection: Regularly review rent and accounts receivable reports to identify payment lapses, contact tenants with overdue balances to arrange payments or negotiate repayment plans, document all tenant interactions in company systems, and track agreed-upon payments and update collection information.
  • Financial Reconciliation and Inquiry Management: Address tenant questions regarding calculations or lease discrepancies, investigate and resolve issues related to common area maintenance, utilities, and real estate taxes, provide historical payment data and revise invoices as needed, and process credits for incorrectly billed items or late charges, subject to management approval.
  • Internal Communication and Coordination: Liaise with billing and lease administration departments to ensure accurate future billings, collaborate with leasing agents and legal counsel on past-due accounts and potential legal actions, and participate in weekly default meetings to discuss account statuses.
  • Default and Legal Proceedings: Initiate account default processes when necessary, coordinate with external counsel to issue default and demand letters, monitor waiting periods and keep relevant parties informed of account statuses, and prepare proof of claim reports and cost breakdowns in bankruptcy cases.
Qualifications:
  • Minimum 2 years' experience in account collections or related accounting/customer service field.
  • Associate's degree preferred.
  • Strong organizational and communication skills (written and verbal).
  • High attention to detail and professionalism.
  • Proficiency in MS Word/Excel; familiarity with specialized software (e.g., AS400) a plus.
Key Relationships:
  • Tenants.
  • Internal teams: Leasing agents, attorneys, management, collections staff, property management.
  • External parties: Collection agencies, attorneys.

This role requires a detail-oriented individual with strong financial acumen and excellent interpersonal skills to manage tenant accounts effectively while maintaining positive relationships with all stakeholders.
