Job Summary

The Senior Administrative Assistant will provide high-level administrative support and independently perform non-routine administrative functions, exercising discretion. This includes coordinating events, conducting searches for information, preparing reports, and handling special projects. In this role, you will maintain relationships with internal partners, including Human Resources, Business Office, Risk Management, and external partners. You will draft and edit correspondence, promotional materials, and presentations, monitor operating budgets, and maintain financial records. Additionally, you will handle non-routine inquiries and issues from internal and external sources.

Key Responsibilities:

  • Maintaining calendars, scheduling meetings, preparing agendas, and collecting and providing support materials.
  • Developing, implementing, and maintaining/improving processes related to administrative support operations, such as records maintenance, data collection, and maintenance.
  • Arranging travel, ordering supplies, and ensuring proper functioning of office equipment.
  • Updating and maintaining mailing lists, databases, and websites.
  • Mentoring and/or training other support staff.

Requirements:

  • High school diploma/GED.
  • 3 years of experience in an administrative support role.
  • Excellent verbal and written communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills, including Word, Excel, PowerPoint, Outlook, and Internet.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading, and editing skills.

Additional Information:

  • This position has a hybrid work schedule.
  • Purdue will not sponsor work authorization for this position.
  • A background check is required for employment in this position.
  • This was formerly classified as an operational/technical position; an internal lateral transfer will retain same benefit standing.
  • FLSA: Non-Exempt (Eligible for Overtime).
  • Retirement: Non-exempt Defined Contribution Plan.
