Human Resources Specialist

We are seeking a highly organized and detail-oriented Human Resources Coordinator to join our team at the Chinese Mutual Aid Association (CMAA). As an HR Coordinator, you will play a critical role in supporting the day-to-day operations of our organization, ensuring compliance with federal, state, and local laws, and fostering a positive work environment.
Job Summary- This is a full-time position responsible for various human resources and administrative tasks, including onboarding new hires, maintaining employee files, conducting I-9 forms and background checks, and reviewing employee timesheets through Paylocity.
- The successful candidate will also handle employment verifications, assist with benefits enrollment and reporting, provide quarterly overtime reports, and respond to government surveys as necessary.
- Onboard new hires and offboard exiting employees in a timely and efficient manner.
- Conduct and file I-9 forms and background checks in accordance with CMAA's policies and procedures.
- Maintain accurate and up-to-date employee files, both physically and electronically.
- Review employee timesheets through the HRIS system, Paylocity, and ensure accurate processing of payroll.
- Handle employment verifications, including responding to inquiries from current or former employers.
- Assist with benefits enrollment, deletion of departed employees, and provision of reports when necessary.
- Prepare and submit quarterly overtime reports for each department.
- Respond to government surveys and census information as necessary.
- Monitor compliance with federal, state, and local laws, as well as funder requirements.
- Provide demographic and internal information needed for grant applications and audits.
- Update employee job descriptions for the agency and draft new ones when necessary.
- Post job openings internally and externally through the ATS - Paylocity.
- Conduct phone interviews and advise hiring managers on the recruitment and hiring process.
- Research and propose initiatives to improve CMAA's internal operations and HR processes.
- Assist in conducting assessments on benefits for employees, such as travel reimbursement, health insurance, and retirement benefits.
- Bachelor's degree required.
- Experience working with HRIS (specifically Paylocity) preferred.
- Experience working with payroll process preferred.
- Strong knowledge of multiple Google platforms and Microsoft Office.
- Strong organizational and communication skills; self-disciplined with an ability to meet deadlines.
- Adept at problem-solving, including identifying issues and resolving them in a timely manner.
- Self-motivated and entrepreneurial.
- Knowledge of a foreign language is a plus, but not required.
