Job Summary

We are seeking a highly skilled and organized Senior Administrative Assistant to join our team at POWER. The successful candidate will provide administrative support to our programs, staff, and overall operations to ensure efficient and effective day-to-day activities.

Key Responsibilities
  • Provide exceptional customer service to callers, visitors, and guests, and perform all reception duties, including answering phones, meeting and greeting visitors, and managing in-kind donation distribution.
  • Assist with word processing, data entry, copying, filing, faxing, and proofreading, as well as maintaining program files, records, logs, and reports.
  • Maintain and coordinate calendars and schedules, coordinate meetings and trainings, take and prepare meeting minutes, and make travel arrangements as needed.
  • Perform weekly checks of all POWER rooms and storage spaces to ensure consistency, safety, and upkeep, and prepare written reports for the Program Manager.
  • Work with the manager to schedule and coordinate new employee orientation, assist with monitoring training hours, and collaborate with the agency administrative support team on special projects.
  • Provide back-up support to other programs and departments as needed, participate in meetings and staff development/training activities, and assist with preparing for external audits/inspections.
  • Run insurance eligibility checks, update billing and clinical team on changes to coverage, request/complete authorizations and continued stays from funders, collect and check paperwork from direct care staff, and complete electronic billing for services rendered.
Requirements
  • High school diploma or GED required; associate's degree and/or formal administrative support training preferred; plus two or more years of relevant experience as an administrative support staff.
  • Excellent computer skills, especially with Microsoft products, including Word, Excel, Publisher, etc.; working knowledge and/or experience with Access databases and/or experience with an EMR system a plus.
  • Excellent organizational and time-management skills, good multi-tasking abilities, strong verbal and written communication skills, and a friendly team player.
  • Value for and ability to deliver excellent customer service, and ability to secure Act 33 and 34 clearances.
Working Conditions

The successful candidate will be able to work on site at the POWER House residential facility, work in POWER's various program sites and offices, and work the hours necessary to complete the work.
