Job Overview

Edward Jones is seeking a highly organized and detail-oriented Legal Administrative Assistant to support the Complaint Investigations Team. As a key member of our Legal Division, you will play a critical role in ensuring the firm meets regulatory requirements and enhancing processes and procedures.

Key Responsibilities:

  • Manage high volumes of tasks and projects in an organized and prioritized manner.
  • Manage intake and opening of client complaint files.
  • Manage email inboxes for verbal complaints, written complaints, and regulatory filings.
  • Manage incoming calls from clients and firm associates.
  • Complete regulatory filings related to compliant matters with an emphasis on accuracy and timeliness.
  • Handle multiple, competing priorities in an efficient and effective manner.
  • React with appropriate urgency to situations and events.
  • Discern priorities and proactively manage timelines.
  • Utilize sound judgment to determine urgency of situations and escalate, as necessary.
  • Anticipate when follow-up is needed and deliver.
  • Create, update, and maintain reports requiring compilation of data from different sources and systems.
  • Manage privileged and confidential information on an ongoing basis.
  • Review highly confidential information and create reports while working within document retention schedules.

Requirements:

  • 3+ years of administrative support experience, or equivalent.
  • Experience processing different types of business and/or legal documents while understanding their implications.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, SharePoint, Adobe Professional, various web-based applications, data entry, and/or electronic records management and document management programs.
