Job Summary:

This role is a key member of the HR team, serving as the first point of contact for the organization and a primary point of contact for all UA employees. The HR Support Specialist will provide essential support to the HR team and other departments across the business as needed.

This position requires a keen ability to maintain confidentiality, prioritize effectively, and deliver exceptional customer service to both internal and external stakeholders.

Essential Duties & Responsibilities:
  • Greet and assist all UA visitors in a professional and friendly manner.
  • Manage incoming calls and determine purpose and direction for forwarding and take messages as needed.
  • Maintain a clean and welcoming reception area and administer the on-site visitor procedures (safety, confidentiality, etc.).
  • Provides administrative support to the HR team and other departments as required.
  • Responds to internal inquiries in a timely manner and provides guidance on office policies and procedures.
  • Maintains and updates various HR systems as directed.
  • Provides daily support with tracking and recording attendance absences and communicating with appropriate parties.
  • Assists with coordination of company meetings and events, including preparing correspondence, ordering meals, posting organizational announcements, scheduling, and arranging travel.
  • Assist with onboarding processes for new employees.
  • This position operates in an office setting and may require occasional overtime or flexibility in hours to accommodate special events or deadlines.
  • Other duties as assigned.
Qualifications:
  • High School Diploma or equivalent required, completion of some college coursework preferred.
  • 2 years of relevant experience preferred.
  • Must be able to maintain confidentiality and handle sensitive information with discretion.
  • Strong team player with a positive attitude and willingness to help others.
  • Detail-oriented, with exceptional organizational skills.
  • Excellent communication skills, both written and verbal, are required.
  • Experience with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
