POSITION OVERVIEW

The Assistant Property Administrator offers essential clerical assistance for the effective management of the property, which includes responding to phone inquiries, welcoming tenants and visitors, document preparation, filing, and generating reports. This role operates under the supervision of the Property Manager.

KEY RESPONSIBILITIES

Responsibilities may encompass, but are not limited to, supporting the Property Manager in the following areas:

  • Advises and implements the eviction process when deemed necessary and sanctioned by the main office.
  • Collects and documents rental payments and follows up on overdue accounts.
  • Assists in drafting specifications and soliciting bids from contractors for recommended projects as needed and authorized by the main office.
  • Prepares and maintains records, files, and any other reports required for the property by the main office or relevant state agency.
  • Coordinates tenant move-ins and move-outs efficiently.
  • Conducts annual unit inspections or more frequent assessments as required, and assists state agencies or other third parties with mandated inspections.
  • Addresses tenant grievances and ensures timely follow-up.
  • Responsible for all clerical tasks associated with this role.

QUALIFICATIONS: SKILLS & COMPETENCIES

  • High School diploma or equivalent.
  • Minimum of two years in an administrative role.
  • Experience with project-based Section 8 or tax credit programs.
  • Proficient in Microsoft Office; familiarity with Real Page, YARDI, or other property management software is required.
  • Ability to take responsibility and be accountable for actions.
  • Dependable and trustworthy character.
  • Effective time management skills to organize and complete tasks within deadlines.
  • Ability to maintain a consistent pace and deliver quality work.
