POSITION SUMMARY

We are a premier contractor focused on property restoration due to various disaster events, including fire, wind, and water damage. As a top-tier disaster recovery contractor, we offer a wide array of services, including 24/7 emergency response, construction oversight, water damage mitigation, reconstruction, consulting, and environmental remediation.

POSITION SUMMARY

The Project Management Specialist (PMS) serves as the main liaison for all stakeholders involved in the successful delivery of projects. The primary objective of the PMS is to facilitate the effective execution of projects by ensuring that all necessary tasks and documentation are completed efficiently. This role requires a thorough understanding of project requirements and phases, supporting the Estimator and Project Manager throughout the project lifecycle, building and maintaining relationships with clients and customers, promptly addressing and resolving issues, and delivering exceptional customer service at all times.

KEY RESPONSIBILITIES

  • Monitor the progress of projects from initiation to completion using project management tools and checklists. Update project stages and manage the project lifecycle.
  • Serve as the primary contact for all parties involved in project execution, including estimators, project managers, clients (insurance programs, adjusters), customers (property managers, property owners), subcontractors, suppliers, and administrative staff.
  • Coordinate schedules for inspections, mitigation efforts, or pack outs/pack backs for estimator/PM reference.
  • Schedule initial assessments with property owners.
  • Establish rapport and cultivate relationships with clients and customers.
  • Understand documentation requirements and timelines for each insurance program.
  • Provide consistent, high-quality customer service to both clients and customers, ensuring follow-through on commitments.
  • Educate clients and customers about our processes and set realistic expectations.
  • Investigate and resolve any concerns raised by clients and customers.
  • Follow up on any issues that may impede project progress.
  • Engage with team members in a positive, respectful, and supportive manner to promote collaboration.
  • Adhere to the On-call Scheduling and Response Policy.

QUALIFICATIONS

  • High School diploma or equivalent.
  • Strong problem-solving abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with current company software applications.
  • Understanding of general office procedures (filing, record keeping).
  • Excellent communication and interpersonal skills.
  • Ability to work effectively under pressure with multiple tasks and tight deadlines.

PHYSICAL REQUIREMENTS

  • Ability to sit at a computer for extended periods.
  • Capability to bend, squat, climb stairs, and lift occasionally.
  • Light physical activity may be required, including lifting up to 20 pounds.
  • Overtime may be necessary to meet project deadlines.
