Accounts Payable Specialist

As a key member of the Washington Nationals team, the Accounts Payable Coordinator plays a vital role in ensuring the smooth operation of our financial functions. Reporting to the Senior Accounts Payable Manager, this position is responsible for the entire cycle of the accounts payable function, including invoicing, vouchering, and processing purchase orders.
Key Responsibilities:- Prepare and process all basic AP vouchers and purchase orders for payment, including credit vouchers.
- Audit all vouchers, purchase orders, service requisitions, and service orders for proper approvals.
- Prepare and update vendor payment schedules as required.
- Key all voucher data into Great Plains and attach all required backup and batches the work for final audit by the Sr. AP Manager for payment.
- Create and maintain our recurring vendor schedules to ensure timely payments and adherence to due dates.
- Maintain the contract/lease term schedule and follow up with necessary contacts when 6 months remain on the contract/lease to determine future actions.
- Respond to vendor inquiries and resolve issues in an efficient and effective manner as needed.
- Collaborate with fellow AP staff in a team-oriented atmosphere.
- Follow up with Department Managers to complete payment documentation as needed and provide assistance when necessary.
- Maintain purchase order and purchase request documentation, including matching receiving copies and package receipts.
- Maintain vendor statements and contact vendors on missing invoices, working to reconcile any outstanding payments or issues.
- Maintain credit applications, completing them, obtaining approval, and sending them via fax/scan/mail.
- Keep the Sr. AP Manager informed of all tasks, especially those requiring additional assistance.
- Provide backup support to the Purchasing Department as needed.
- Bachelor's degree and 2-3 years of accounts payable experience, or an equivalent combination of education and experience.
- Experience with Microsoft Great Plains Accounting System.
- Team and/or sports experience.
The projected annual salary range for this position is $45,000 - $63,000 per year.
