Position Overview

As an Executive Administrative Coordinator, you will play a vital role in supporting our team through various administrative tasks, including:

  • Reconciling monthly grant reports and assisting in portfolio analysis.
  • Collaborating with program officers to ensure timely completion of grant requirements.
  • Working alongside the Managing Director and Communications Officer on the quarterly newsletter, including content sourcing and editing.
  • Enhancing internal processes and managing data resources effectively.
  • Coordinating Lunch & Learns, webinars, and meetings, including logistics and content preparation.
  • Managing team calendars, meetings, retreats, and conferences.
  • Scheduling and organizing internal and external meetings, ensuring all materials are prepared.
  • Arranging travel for the Managing Director and team members.
  • Assisting in the preparation of Board and Workgroup materials.
  • Drafting correspondence, proofreading documents, and managing contacts.
  • Processing departmental expenses and resolving discrepancies.
  • Serving as the primary contact for internal stakeholders regarding documentation.
  • Responding to general inquiries and distributing information to team members.
  • Drafting and managing consulting contracts.
  • Handling mailings and departmental correspondence.
  • Assisting with budget tracking and data management.
  • Representing the organization professionally and providing excellent customer service.
  • Ensuring effective document management and filing systems.
  • Providing backup for reception duties as needed.
  • Performing off-site work and light travel for meeting preparations.
  • Completing additional tasks as assigned.

Qualifications

To be successful in this role, candidates should possess:

  • A high school diploma is required; an Associate degree is preferred.
  • Relevant coursework in business administration, project management, or related fields.
  • A minimum of three years of professional office experience, preferably in nonprofit sectors.
  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Experience in calendar management, travel coordination, and document proofreading.
  • The ability to maintain confidentiality and exercise discretion.
