Role Summary

We are currently seeking a full-time Bilingual Administrative Assistant for our Bay Shore Family Center. This role involves performing various administrative and clerical tasks, welcoming clients, managing data entry, and procuring supplies.

Key Responsibilities

  • Execute general clerical duties such as answering phone calls, scheduling, confirming appointments, scanning, filing, and reporting to support the multidisciplinary team in the efficient operation of the office.
  • Welcome and engage with clients, visitors, and referral sources.
  • Conduct electronic data entry and maintain accurate records.
  • Assist supervisory personnel with necessary statistical data collection and reporting.
  • Support the operation of office technology, including phones, computers, copiers/scanners, and fax machines.
  • Help monitor expenses related to petty cash and other relevant budgets.
  • Assist in completing insurance documentation, including prior authorizations for treatment.
  • Contribute to maintaining a positive and productive workplace environment.
  • Provide coverage at alternate locations as required.
  • Foster positive working relationships with colleagues and external parties to achieve organizational goals.
  • Collaborate effectively with others to set objectives, resolve issues, and make informed decisions.
  • Work alongside the Office Manager to prioritize tasks, develop work schedules, monitor progress towards objectives, and track details, data, information, and activities.
  • Perform additional duties as assigned.

Qualifications

A high school diploma or equivalent is required.

A minimum of 2 years of relevant experience in an office environment is required.

Proficiency in computer applications, including Microsoft Office, is essential.

Strong interpersonal, verbal, and written communication skills are necessary.

Bilingual proficiency in Spanish is required.

Flexibility in scheduling for office coverage is essential.

Physical Requirements

This position requires prolonged periods of sitting.
