Job Title: Elections Clerk

We are seeking a highly organized and detail-oriented Elections Clerk to join our team at Gallatin County, MT.

Job Summary:
  • Process voter registration applications, ensuring accuracy and completeness, and notify provisionally registered voters or pending registrants.
  • Assist voters who come into the office to register or update their voter registration or vote in-person.
  • Determine if the voter is a new voter or is already registered within the state, and update the information or enter the new voter's information in the statewide system.
  • Scan voter registration application cards and print voter confirmation cards, and file application cards by numerical batch order in the permanent file.
  • Print batches of voter confirmation cards and mail to voters.
  • Cancel voters from death lists and out-of-state move listings from the Secretary of State's office, and maintain communication with the Recording Department to procure death lists monthly.
  • Ensure that all voter registration application cards are processed within the 30-day close of registration before each election.
  • Monitor and maintain inventories of election supplies, and prepare all supplies needed by election judges for all precincts.
  • Prepare ballots for printing, and determine the appropriate layout according to applicable laws and rules.
  • Schedule election judges for all precincts in the county, and ensure each polling place has an adequate number of election judges.
  • Prepare and distribute mail ballot packets, and verify signatures on all returned envelopes.
  • Conduct and monitor absentee voting, and track received ballots and place them in a secure location.
  • Respond to various election-related inquiries, and interpret information needs, locate applicable resources, or connect them with the appropriate staff member or offices.
  • Prepare and test automated voting equipment used by people with disabilities.
  • Test and operate central-count ballot tabulators, and count non-scannable ballots.
  • Receive supplies from election judges, organize, inventory, and store post-election materials and documents.
  • Certify petitions for candidates running for office and individuals circulating issues to be placed on future ballots.
  • Receive and file documents, including Oaths of Office and other various candidate forms.
  • Collaborate with fellow clerks to collect ballot boxes securely and safely from places of deposit and polling places.
  • Work with supervisor to create fillable PDF versions of ballots for military and overseas voters.

Requirements:
  • High school diploma or equivalent, plus one year of job-related work experience.
  • Duties of this position are learned through on-the-job training.
