POSITION SUMMARY

  • Handles all incoming communications, addresses urgent requests, and inputs service orders into the computerized maintenance management system (CMMS), while informing the relevant department about work orders, maintaining accurate records, and facilitating necessary training.
  • Takes charge of responding to inquiries and entering various service requests into the CMMS.
  • Assists in managing both emergency and routine service order requests, generating and submitting work orders, and notifying the relevant department about these requests to ensure smooth daily operations.
  • Must respond to calls within five (5) rings, gathering detailed information from the caller to accurately document service order requests.
  • Meticulously logs details of service requests, including pertinent information such as location, issue description, and urgency level.
  • Coordinates with maintenance staff to efficiently assign and dispatch service orders.
  • Keeps requestors informed about the progress of their service requests.
  • Conducts regular audits of completed service orders to verify accuracy and thoroughness.
  • Reports any inconsistencies or issues to the appropriate personnel.
  • Handles all communications in a courteous and professional manner, ensuring a positive representation of the organization at all times, while adhering to compliance standards regarding the handling of sensitive information.

ESSENTIAL QUALIFICATIONS:

  • Prior experience in telephone operations, with at least one year in a helpdesk role requiring knowledge of organizational procedures.
  • Proficient in office software applications (e.g., Microsoft Office, Excel).
  • Excellent organizational and time-management capabilities.
  • Strong communication and interpersonal skills.
  • Ability to engage with individuals from diverse backgrounds, manage stress effectively, and adapt to evolving work conditions.
