Key Responsibilities
  • Administrative Support: Provide administrative support to the front desk, including answering phones, taking messages, routing calls, printing and posting schedules, checking and sending faxes, and maintaining patient information in our computer system.
  • Patient Communications: Coordinate patient communications for scheduling and appointment reminders, financial responsibility discussions, and procurement of medical documentation from referral sources.
  • WIP Management: Assist in managing the WIP daily in collaboration with our clinicians and maintain all case documentation in OPIE in compliance with best practices established by the company.
  • Insurance Authorizations: Collaborate with internal teams to secure insurance authorizations for patient cases, financial responsibility, and medical documentation requirements.
  • Office Management: Maintain a clean office work environment, including coordination of office supplies and petty cash.
  • Shipping and Receiving: Perform shipping and receiving of products for device procurement and delivery as needed.
  • Professional Development: Update job knowledge by participating in educational opportunities, reading professional publications, and maintaining personal networks.
  • Reporting: Create and maintain reporting as needed.
  • Customer Service: Ensure customers receive the best service possible and concerns are satisfactorily resolved.
Requirements
  • Education: High school diploma or equivalent.
  • Experience: Two years of office administrative management, preferably in a medical, dental, or therapy office.
  • Skills: Medical terminology, accounts receivable, insurance collections, or billing experience preferred. Knowledge of Medicare and Medicaid preferred. Customer service experience required.
