Purpose of PositionWe are seeking a highly motivated and solutions-focused RMA Coordinator/Buyer to join our team. The ideal candidate will assist the Purchasing and Quality teams in the procurement of field service-related items and processing, tracking, and service-related RMAs.
Responsibilities- Process and Follow up on RMA Orders: The successful candidate will be responsible for processing and following up on any open RMA orders, ensuring timely resolution and customer satisfaction.
- Collaboration with Internal Departments: The RMA Coordinator/Buyer will work closely with internal departments such as field service, purchasing, warehouse, shipping, and accounting to close RMA orders.
- Material Handling: The candidate will manually load or unload RMA orders from pallets, skids, or other lifting devices, ensuring safe and efficient handling of materials.
- ERP System Management: The RMA Coordinator/Buyer will process changes in the ERP system (INFOR) and confirm quality checks and documentation have been completed.
- Vendor Communication: The candidate will communicate with vendors on returning items for replacement or receiving credit notes, ensuring smooth and efficient communication.
- Process Improvement: The RMA Coordinator/Buyer will follow existing RMA processes and protocols, identifying areas for improvement and implementing changes to enhance efficiency and effectiveness.
- Purchase Process Support: The candidate will assist in all aspects of the purchase process, including maintaining a network of reliable suppliers, cost analysis, sourcing, quotations, timely order placement, monitoring of order delivery timelines, and resolving any discrepancies or delivery issues.
- Material Expedite and Facilitation: The RMA Coordinator/Buyer will expedite and facilitate the flow of materials to and from various departments, noting production complications and ensuring timely resolution.
- Vendor Management: The candidate will work with vendors/suppliers to ensure accurate and on-time delivery of goods, including making schedules, writing and fulfilling purchase orders, and estimating costs.
- File Maintenance: The RMA Coordinator/Buyer will maintain accurate files regarding pricing, order confirmations, and other vendor-related issues.
- Process Enhancement: The candidate will continuously improve upon processes and offer solutions to best support the organization and increase overall efficiency and effectiveness.
- Purchasing Experience: At least 3 years of purchasing experience required.
- Computer Proficiency: Proficiency at using computer systems (e.g. MS Office programs, ERP and other IT applications as trained/required).
- Organizational Skills: Exceptional organizational skills, able to prioritize, and multi-task.
- Teamwork: Able to work independently and as part of a team.
- Communication Skills: Strong communication, time management, organizational, and problem-solving skills.
- Lifting Ability: Able to handle heavy lifting (up to 50lbs).
- Verbal and Written Communication: Verbal and written communication proficiency.
- Attention to Detail: Attention to detail.
- Organizational and Time Management: Organizational and time management skills.
- Reliability and Confidentiality: Reliable with a respect to confidentiality.
- Education: BS Degree/Diploma preferred but required.
- Experience: 3-4 Years or more experience of purchasing products and RMA processes.
- Microsoft Office Proficiency: Advanced proficiency of Microsoft Office applications (Access, Outlook, Excel, and PowerPoint).
- Multi-tasking and Prioritization: Ability to multi-task and prioritize in a fast-paced manufacturing environment.
