This role is essential for maintaining effective documentation, managing processes, and facilitating communication, which are all vital for enhancing productivity and operational efficiency.
Key Responsibilities:
- Facility Management
- Oversee scheduling and logistics for vendors, clients, and visitors, ensuring adherence to safety and quality protocols.
- Assist in planning and organizing corporate events and meetings to promote employee engagement.
- Manage inventory of office supplies, IT equipment, and mail distribution; collaborate with IT support for troubleshooting.
- Security, Timekeeping, and Uniform Management
- Administer the facility's security system and oversee badge issuance for staff and contractors.
- Assist employees and temporary workers with badge and timekeeping processes.
- Provide training for supervisors and new employees on timekeeping systems and issue resolution.
- Coordinate the work uniform program with external vendors.
- Safety Program Assistance
- Maintain records of safety incidents and ensure follow-up on outstanding issues under HR guidance.
- Work with Environmental Health & Safety (EH&S) on incident follow-ups, monthly reporting, and OSHA compliance documentation.
- Provide data and support for safety initiatives and programs.
- Assist in the activities of the Safety Steering Team and Safety Committee.
- Recruitment, Onboarding, and Training Support
- Facilitate recruitment processes for both permanent and temporary positions by liaising with staffing agencies and hiring managers.
- Process onboarding and offboarding transactions in HR software.
- Organize and schedule orientation sessions for new hires to ensure a comprehensive onboarding experience.
- Prepare workstations for new employees and procure necessary supplies.
- Additional Responsibilities
- Perform other duties as assigned by management.
Qualifications and Skills:
- Experience: 2-4 years in an administrative capacity within a manufacturing setting. A high school diploma is required.
- Languages: Proficiency in English; knowledge of Spanish is highly desirable.
- Skills:
- Strong organizational skills with the ability to manage multiple tasks.
- Effective problem-solving abilities and a collaborative work style.
- Excellent interpersonal communication skills.
- Attention to detail with a focus on customer service.
- Ability to handle confidential information responsibly.
- Technical Proficiencies:
- Proficient in Microsoft Windows, Word, Excel, and Outlook.
- Experience with HRIS systems such as UKG is advantageous.
- Basic math skills and proficiency in reading and writing at a high school level.
Work Requirements:
- May require extended hours based on operational needs.
- Must have reliable transportation and may need to travel between facilities occasionally.
- Ability to meet tight deadlines under moderate to high demand.
- No overnight travel is required.
Physical Requirements:
- Moderate physical activities including bending, pushing, pulling, climbing stairs, reaching, lifting, and grasping (2-4 hours/day).
- Continuous activities such as sitting, standing, walking, and repetitive hand/wrist movements (6+ hours/day).
- Good vision and normal hearing; fluency in English is essential.
Working Conditions:
- Indoor environment, with seasonal variations in temperature and humidity on the production floor.
- Occasional exposure to various scents.
- Ability to move and lift objects weighing up to 10 lbs.
Work Schedule:
- Shifts ranging from 8 to 10 hours, with flexibility based on business needs.
- May require an additional 5-10 hours per week beyond the standard schedule.
