Job Description:
Hire Life Recruiting and Consulting is seeking a highly organized and detail-oriented Orthodontic Treatment Coordinator to join our team.

In this role, you will play a vital part in ensuring a seamless patient experience, from initial consultations to treatment completion.

You will utilize your sales and communication expertise to guide patients through their orthodontic journey while maintaining a high level of care and organization.


Responsibilities:

Treatment Coordination:
Conduct initial consult phone calls to gather patient information and schedule appointments.
Prepare and send first evaluation letters to new patients.
Assist with follow-up calls and communications as needed.
Prepare necessary paperwork for upcoming patient appointments (post-consult, debond, interproximal reduction, etc.).
Handle dental insurance resubmissions, explaining available options to patients (plan assist, recall, appeal).
Communicate with orthodontic technicians regarding upcoming patients and treatments.
Document treatment card notes accurately and comprehensively.
Ensure patients understand their treatment plans by explaining details throughout the consultation process.
Understand and present financial options clearly to patients.
Educate patients on orthodontic benefits and necessary treatments.
Create referrals for interproximal reduction procedures.
Conduct care calls to follow up with patients and address any concerns.
Participate in treatment coordinator training to enhance skills and knowledge.
Finalize fee presentations and ensure patients are informed of costs.
Follow through on next steps and ensure a smooth transition for patients.
Communicate effectively with referring dentists and orthodontists.
Draft first evaluation letters and clearance letters.
Maintain thorough documentation of consults, treatment card notes, and other relevant information.
Coordinate necessary treatments with dentists and orthodontists.
Follow up on dental insurance denials and discuss financial options with patients.
Capture debond and interproximal reduction photos for marketing purposes.

Patient Care Coordination:
De-escalate and resolve issues with difficult patients.
Administer debond surveys and collect feedback.
Monitor and respond to debond emails.
Coordinate clinic and lab schedules for treatment starts.
Manage the aligner approval process.

Qualifications:
Minimum of one year of experience in the orthodontic field as a treatment coordinator and patient care coordinator.
Fluent in Spanish (required).
Excellent sales and communication skills.
Strong attention to detail and organizational abilities.
Ability to problem-solve and prioritize tasks effectively.
Proficiency with technology and orthodontic software.
Passionate about patient care and delivering positive outcomes.
Positive attitude and enthusiasm for working in a dynamic orthodontic practice.
