Job Title: Administrative Assistant

We are seeking an experienced Administrative Assistant to join our team at The Rose, Pine Cliff, The Jourdain and Wellstone, referred to as South Quarter.

Job Summary:

The Administrative Assistant will provide administrative, customer service, and general office support to this 210-unit apartment community. The successful candidate will be responsible for responding to resident, vendor, and management needs, issues, or problems, as well as maintaining office equipment, ordering supplies, and providing accurate rental information.

Key Responsibilities:
  • Resident/Property Relations:
    • Respond to resident, vendor, and management needs, issues, or problems.
    • Enter maintenance requests, grant access as needed, and respond to emergencies.
  • Office/Administrative Support:
    • Support the site office by being present during set office hours, answering telephone, filing, sorting mail, maintaining office equipment, ordering office supplies, referring residents, providing accurate rental information, and giving access to vendors/contractors.
  • Compliance:
    • Support the management office in achieving overall compliance of the property, including collecting, processing, and properly filing required information.
  • Property Finances:
    • Support the management office with rent collection, including issuing receipts to residents, preparing deposits, and creating delinquent letters.
    • Assist in processing invoices and other tasks as needed.
  • Marketing & Leasing:
    • Support the site office by setting up showings, completing showings, supporting marketing and curb appeal needs as needed.
  • Physical Asset:
    • Support the team to ensure the property remains a safe and enjoyable space for residents, guests, and staff.
Requirements:
  • Demonstrated success in detail-oriented administrative support functions and face-to-face customer/client interactions.
  • Ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations.

  • Strong computer literacy skills preferred.
  • Valid driver's license, vehicle insurance, and access to a reliable vehicle.
Physical Requirements:
  • Ability to lift up to 10lbs.
  • Ability to reach above and below the shoulders.
  • Ability to sit and stand for extended periods of time.
  • Ability to complete daily tours between properties, including inspecting grounds, hallways, stairwells, and apartment homes.
  • Ability to file, open, and close file drawers, and enter data into a computer for extended periods of time.
  • Ability to withstand external weather conditions.
Compensation, Hours & Location:

This position pays $18-$20 per hour and offers an impressive benefit package that includes medical, dental, vision, life insurance, short-term and long-term disability, retirement plan, generous paid time off, and an employee assistance program.

This position offers Monday-Friday, daytime hours. Typical work schedules are 8:30am-5pm, but there is some flexibility in these hours to accommodate the needs of the property and the staff person.

This is an in-person position and will work mostly out of South Quarter. Occasional work at Aeon's Central Office, training facilities, and other properties will occur from time to time.
