The Executive Administrative Coordinator will oversee intricate schedules, organize meetings, and manage various administrative duties to facilitate smooth operations. This position demands exceptional organizational abilities, meticulous attention to detail, and the capacity to handle sensitive information with discretion.

Key Responsibilities:
  • Oversee and maintain the daily schedules of the CFO and two partners; prioritize calendar requests and coordinate with other team members as necessary.
  • Organize travel arrangements, including itineraries, accommodations, and transportation.
  • Draft, revise, and format reports, presentations, and other documents utilizing Microsoft Office software.
  • Collect quarterly capital account statements, audited financial reports, tax documents, and other materials; update and upload documents into our CRM system.
  • Assign tasks and projects, ensuring successful completion while following up as needed to confirm that all matters are resolved appropriately.
  • Act as a liaison among departments to facilitate daily administrative operations.
Qualifications:
  • 2-5 years of experience in a Senior Administrative or Executive Assistant capacity, demonstrating a successful history of supporting senior leadership.
  • Outstanding written and verbal communication skills.
  • Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Expertise in Outlook, particularly in managing calendars and setting up virtual meetings.
  • Ability to foresee needs, think critically, and propose effective solutions to challenges.
