Reporting Structure:

  • Reports to the Director of Site Development

Key Responsibilities:

As a Project Management Specialist, you will play a vital role in supporting project teams by liaising with project managers, site development specialists, subcontractors, and clients. Your involvement will span all project phases, including initiation, leasing, compliance, design, zoning, and permitting.

This position demands a high level of attention to detail and a commitment to accuracy. You will be expected to manage specialized tasks efficiently while maintaining a steady pace. We provide ongoing training and resources to enhance your skills and confidence.

Essential Duties Include:

  • Preparing and reviewing reports, forms, and correspondence.
  • Ensuring clear and honest communication with project teams, clients, and vendors.
  • Maintaining organized and complete project files.
  • Updating tracking systems and databases to reflect accurate project statuses.
  • Monitoring project deliverables and deadlines.
  • Coordinating subcontractor schedules as necessary.
  • Collaborating with finance on purchase orders and invoicing.
  • Generating regular reports to highlight project data variances.
  • Performing data entry to support project management efforts.
  • Providing status updates to project managers and relevant personnel.
  • Drafting and distributing project-related communications.
  • Communicating task progress to team members and other departments.
  • Offering additional administrative support as needed.

Qualifications:

  • Flexibility to accommodate varying project schedules.
  • At least 2 years of experience in project coordination or administration, preferably in a business environment (experience in wireless telecom is advantageous).
  • Strong organizational and administrative capabilities.
  • Proficiency in MS 365 applications (Excel, Word, Outlook) and Adobe Acrobat.
  • Ability to prioritize tasks across multiple projects effectively.
  • Excellent problem-solving skills and a proactive approach to issue resolution.
  • Strong verbal and written communication skills for reports and project correspondence.
  • Ability to maintain confidentiality and manage client databases.
  • A valid driver's license with a clean driving record.
  • A high school diploma or equivalent is required.
