Job Summary

This role will support the Senior Facility Manager and Account Lead with ongoing facility, track, and team-related responsibilities. The successful candidate will be the main point of contact for the Corrigo work order system, ensuring accuracy, completeness, and timely delivery of invoices and service tickets. They will also work closely with the accounting team to submit Purchase Orders, manage goods receipt, and review POs for accruals.

Key Responsibilities

  1. Directly support the Senior Facility Manager and Account Lead with facility, track, and team-related responsibilities.
  2. Main point of contact for the Corrigo work order system, ensuring accuracy, completeness, and timely delivery of invoices and service tickets.
  3. Work closely with the accounting team to submit Purchase Orders, manage goods receipt, and review POs for accruals.
  4. Ensure client satisfaction with facility management by providing a seamless interface into client facility operations.
  5. Constant interface with client stakeholders and customers.
  6. Support the Senior Facility Manager in implementing short and long-term projects for the client.
  7. Assist in creating and implementing the annual management plan and accomplish key performance indicators as identified by the client.
  8. Assist with creating detailed weekly, monthly, quarterly, and annual reporting for the client.
  9. Maximize utilization of suppliers, preferred vendors, and Minority/Women-owned Business Enterprises (M/WBE).
  10. Ensure compliance with Jones Lang LaSalle minimum audit standards.
  11. Share best practices with the assigned owner of best practices for Jones Lang LaSalle Facilities Management.
  12. Develop monthly and quarterly variance reporting on all operating budgets for the property.
  13. Help develop the annual capital plan for the building, interfacing closely with the client representative as needed.
  14. Develop and implement innovative programs, processes, and producers that reduce short and long-term operating costs and increase productivity.
  15. Coordinate discussions with vendors and suppliers regarding goal setting, performance criteria, and performance reviews.
  16. Assist with negotiations of new and existing contracts, sourcing local services and goods needed for day-to-day operations.
  17. Collaborate with the account Sourcing team on national and regional sourcing opportunities.

Requirements

  • Strong attention to detail.
  • Excellent customer service delivery.
  • Experience in Corrigo work order system.
  • Strong PowerPoint presentation skills and Excel.
  • Knowledge of real estate, accounting, and building systems helpful.
  • Excellent verbal and written communication skills.

Minimum Required Education

Undergraduate bachelor's degree preferred in real estate, finance, or management.

Minimum of three (3) years industry experience in Facilities Management within a corporate office environment.
