Job Title: Assistant Facilities Manager

First Financial Credit Union is seeking a highly skilled and experienced Assistant Facilities Manager to join its team onsite at our new operations center in Pasadena. As the Assistant Facilities Manager, you will be responsible for managing and maintaining all aspects of our facilities to ensure they are safe, efficient, and well-maintained.

Key Responsibilities:
  • Manage the duties and responsibilities of all Facilities Specialists.
  • Direct the work of the Facilities Team and have the authority to hire and performance counsel employees.
  • Exercise discretion and independent judgment as it pertains to Facilities.
  • Motivate, train, and develop staff.
  • Oversee Corporate building and Branch offices' maintenance, including participating in vendor negotiation/contract agreements for janitorial and other maintenance services.
  • Manage the facilities department and ensure the proper maintenance of equipment.
  • Respond to requests for service from employees and resolve related problems.
  • Maintain contracts and associated documentation.
  • Ensure equipment is serviced as scheduled and repaired as necessary.
  • Ensure supplies are available and meter-reading deadlines are met.
  • Manage the processing of mail, shipping, and receiving, copy services to ensure pickup and delivery of inter-office, courier, and outside mail is made in accordance with schedules.
  • Coordinate requests for moving furniture and equipment for Corporate Center and Branch offices.
  • Control and monitor security of Corporate Center facilities.
  • Control and issue keys and codes.
  • Maintain and update corporate key log as needed.
  • Monitor and maintain an attractive appearance for Corporate Center facilities and Branch offices.
  • Provide 24-hour on-call contact information to police, fire, alarm, and appropriate vendors.
  • Review and approve invoices for utilities, maintenance, and other contracts and other payables for accuracy and completeness.
  • Participate in the development of the annual budget.
  • Review expenditures for compliance with budgets.
  • Complete monthly budget variance report.
  • Control and monitor security of Corporate Center facilities.
  • Maintain master schedule for Corporate Office training rooms.
  • Ensure room setups are made as requested.
  • Develop, update, and maintain facilities operating procedures.
  • Research new methods, materials, services, and equipment that would benefit the Credit Union in terms of efficiency or cost savings.
  • Gather and analyze data and prepare various routine and special reports as required.
  • Serve on the Safety and Security committee and have direct involvement in the implementation of any changes to the facility that are deemed necessary.
  • Complete or attend required compliance and/or industry training as assigned.
  • Perform all duties in compliance with laws, regulations, Credit Union policies, and procedures.
  • Comply with all BSA and OFAC regulations.
Qualifications:
  • High School graduate or equivalent.
  • College degree preferred.
  • Working knowledge of facilities maintenance and related CAL/OSHA regulations.
  • Strong knowledge of facilities management, maintenance, and procedures.
  • Working knowledge of mail services and US Postal Service regulations.
  • Strong organizational and follow-through skills, must be able to work independently and to prioritize tasks and projects.
  • Working knowledge in Excel, Word, PowerPoint, and Outlook.
  • BASIC accounting skills to prepare and monitor annual budgets.
  • Effective oral and written communication skills.
  • Strong planning, organization, and administration skills.
  • Must be in good physical condition and able to lift up to 75 pounds.
  • Ability to travel to various branch locations.
  • Minimum of 3 years of Facilities/Building Operations/Property Management related work experience in an office environment.
  • Certification in CPR, AED, and First Aid preferred.
  • Must have a valid California driver's license and good driving record.
  • Proven leadership through effective communication, coaching, training, and development.
