Role Purpose: This position plays a crucial role in delivering comprehensive administrative and clinical support to our clinic and its various programs. Responsibilities include welcoming patients and their families, verifying current contact and insurance details, collecting co-pays, and ensuring efficient clinic operations. The role also requires fostering a professional and respectful relationship with patients, families, and staff, facilitating the smooth integration of administrative and clinical support across all programs.

Key Responsibilities:

  • Assist the administrative team with various tasks such as monitoring intake forms, checking in patients, scheduling follow-up appointments, and addressing needs of patients and clinicians.
  • Distribute surveys and assessments as directed by providers or based on scheduled intervals.
  • Document all patient interactions in the electronic health record (EHR) system.
  • Perform clerical duties including answering phones, copying, mailing, faxing, scanning, and organizing documentation.
  • Respond to email inquiries in a thorough, timely, and courteous manner.
  • Support the Site Director in ensuring the clinic adheres to compliance regulations.
  • Maintain a clean and organized office environment, fostering a professional and welcoming atmosphere.
  • Monitor and manage inventory needs, ensuring adequate supplies are available.
  • Utilize electronic systems such as the clinic's EHR system, billing platforms, and Google Suite.
  • Uphold the confidentiality of all protected health information (PHI) in accordance with HIPAA regulations.
  • Embody and promote the clinic's vision, mission, and values in daily operations.

Additional Duties:

  • Provide backup support to the Program Coordinator role, including attending multidisciplinary treatment team meetings.
  • Assist the Intensive Outpatient Program (IOP) and Partial Hospitalization Program (PHP) teams, including clinicians and patients.
  • Coordinate IOP and PHP groups, manage group coverage as needed, and prepare group rooms, ensuring cleanliness and sanitation.
  • Schedule appointments, manage IOP and PHP services, and facilitate virtual group sessions as required.
  • Report and track patient attendance and appointment charges daily.

Qualifications:

  • High school diploma or equivalent.
  • Ability to maintain confidentiality and comply with HIPAA standards and company policies.
  • Strong computer skills; experience with Google Drive and Google Suite is highly advantageous.

Physical Requirements:

  • Mobility: Ability to stand, walk, and sit for extended periods.
  • Manual dexterity: Strong hand-eye coordination for tasks such as typing and handling paperwork.
  • Vision and hearing: Good visual acuity and hearing for reading, communication, and computer use.
  • Communication skills: Clear verbal and written communication abilities.
  • Stamina: Capacity to handle multiple tasks and work under pressure.
  • Lifting and carrying: Occasional lifting or carrying of office supplies, files, or equipment.
