The Receptionist serves as a front-line representative for the dealership, providing exceptional customer service and ensuring a positive experience for all visitors. Key responsibilities include answering multi-line phone systems, greeting customers, and directing them to the appropriate party.
Key Responsibilities- Answer multi-line phone systems in a friendly and professional manner, using the company-approved greeting.
- Respond quickly and accurately to incoming telephone calls, routing calls, providing assistance, and furnishing general information to internal and external callers.
- Offer to take messages or send callers to voicemail according to caller preference and company policy when the person being called is not available.
- Greets and directs visitors, including customers and vendors, to the correct department, notifying the appropriate person that the visitor has arrived.
- Obtains and records demographic information about each customer, using the dealership's sales control system.
- Hands out brochures and other information to visitors to the dealership.
- Answers basic customer inquiries and refers more complex inquiries to the appropriate person.
- Greets customers in the service department during morning rush hour and obtains basic customer information.
- Serves as clerical and administrative backup.
- Exceptional customer service skills.
- Ability to clearly answer the phone and use the intercom.
- Strong organization skills and ability to multi-task.
- Ability to remain positive and professional in stressful situations.
- Ability to read and comprehend instructions and information.
- Ability to listen to customers and determine how to assist them.
- Proficient with Microsoft applications.
- Time management skills and ability to prioritize.
- Excellent communication skills and works well in a team environment.
- Fast and accurate data entry skills.
- Ability to handle multiple calls at one time.
- Maintain professional appearance at all times.
This position will primarily work in a retail automotive sales showroom. The employee will work with a computer, telephone, and other office equipment as appropriate. May be asked to drive cars on occasion. This position requires the ability to push, pull, stoop, kneel, reach, grasp, and involves repetitive motion primarily typing. This position requires the ability to talk and hear.
Position Type/Expected Hours of WorkThis position will require the employee to work store business hours with the ability to work nights, weekends, and holidays as required.
Required Education and ExperienceHigh school diploma or equivalent.
Preferred Education and ExperienceHigh school diploma or equivalent and one or more years of experience answering calls in a high-volume setting.
Additional Eligibility Qualifications (Certification/Licenses/Registrations)Valid Driver's License.
