Key Responsibilities

  • Assist in financial management and budgeting tasks related to property operations.
  • Create, manage, and distribute regular operational reports, including KPIs and financial adjustments.
  • Support the preparation and management of property management documentation, including contracts and inspections.
  • Develop and oversee comprehensive project plans, managing teams throughout the project lifecycle.
  • Coordinate due diligence for potential acquisitions, ensuring the transfer of service contracts and utilities.
  • Assist in preparing properties for sale, reviewing contracts and vendor invoices.
  • Manage the execution of service contracts, from obtaining signatures to document storage.
  • Collaborate with accounts payable to set up new service providers, ensuring compliance with vendor requirements.
  • Maintain and update the Contract Review Summary for each property.
  • Prepare and send vendor cancellation letters as directed.
  • Monitor contract performance and manage expiration dates.
  • Work with legal and corporate teams to ensure compliance with policies and regulations.
  • Implement and enhance operational processes for improved efficiency.
  • Maintain schedules for monthly reports and accounting deadlines.
  • Reconcile monthly property-related expenses.
  • Conduct audits and inspections to ensure compliance.
  • Assist in the development of emergency response plans.

Qualifications

  • Associate degree in Business Administration or a related field.
  • Minimum of 3 years of relevant experience or an equivalent combination of education and experience.
  • Exceptional organizational and multitasking skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Excel and the Microsoft Office Suite.
  • Ability to work independently and collaboratively.
  • Strong problem-solving skills and attention to detail.

Preferred Qualifications

  • Bachelor's degree.
  • Property management certification (e.g., CAM, CPM).
  • Previous experience in property management.
