Scheduling Coordinator

The Health Services Coordinator will assist the Director of Health Services in planning, developing, and implementing the nursing service department's programs and activities. This role will also involve coordinating nursing services with other resident services to ensure a seamless care experience.
The ideal candidate will have strong analytical skills, with the ability to gather and compile information, analyze discrepancies, and adjust accordingly. They will also possess excellent communication skills, with the ability to effectively present information and respond to questions from various stakeholders.
This role requires a high level of organization, with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail. The Health Services Coordinator will also be responsible for maintaining confidentiality and professional discretion, while working independently and collaboratively within a team environment.
Key Responsibilities:
- Assist the Director of Health Services in planning, developing, and implementing the nursing service department's programs and activities.
- Coordinate nursing services with other resident services to ensure a seamless care experience.
- Develop and maintain methods for coordination of nursing services with other resident services.
- Participate in facility surveys and inspections as directed by the Director of Health Services or Executive Director.
- Manage and coordinate employees' PTO requests, holiday rotations, and shift trades.
- Generate all required postings, including BIPA, daily assignment sheets, and monthly schedules.
- Monitor overtime and maintain proper staff ratio to census.
- Manage Time and Attendance, including Attendance points, buy-backs, and SPUs for cash and STARS.
- Anticipate staffing needs and recruit employees as necessary.
- Maintain and monitor Preceptor needs.
- Utilize Smartlinxs functionality, including posting open shifts, filling open shifts, and employee messaging.
- Meet with new employees to review their schedule and ensure a smooth onboarding experience.
- Assist with onboarding coordination and classes.
- Adhere to scheduling standards, Smartlinx utilization, and best practices.
- Provide direct nursing care as necessary.
- Complete scanning and attaching of resident documentation in MatrixCare to ensure Medical Records are complete and accurate.
- Maintain ordering and stocking of supplies.
- Rounds on each shift to provide review of consistent staffing levels.
Requirements:
- Strong analytical skills, with the ability to gather and compile information, analyze discrepancies, and adjust accordingly.
- Excellent communication skills, with the ability to effectively present information and respond to questions from various stakeholders.
- High level of organization, with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail.
- Maintain confidentiality and professional discretion.
- Ability to work independently and collaboratively within a team environment.
- Technical procedures of governmental laws, regulations, and guidelines that pertain to the long-term care industry.
- Budgets and PPD sets.
- SmartLinx, ICIMS, and KeyStats computer systems, preferred but not required.
- Compliance with external regulatory agencies and organization for all areas of responsibilities.
- Unencumbered C.N.A or QMA/KMA/Med Tech certification or LPN/RN License in state currently working.
