Role Overview
The Customer Service Associate Coordinator is responsible for managing booking requests and initiating the logistics and transportation processes for our services. Our organizational culture promotes individual talent, mutual trust, and continuous learning.
Key Responsibilities
- Ensure timely, accurate, and complete order processing within specified timeframes.
- Initiate order processing in accordance with customer specifications and internal standards.
- Facilitate effective communication and collaboration with both internal and external clients.
Daily Duties
- Maintain departmental KPIs and customer satisfaction metrics as established.
- Respond to incoming customer inquiries via phone and take appropriate actions.
- Monitor and address incoming customer emails to guarantee prompt communication; escalate issues for swift resolution.
- Keep precise, timely, and comprehensive records in our proprietary database.
- Conduct routine data entry tasks, including entering new orders and shipment details into tracking systems, tracing shipments with various vendors, and updating information across multiple platforms.
- Perform administrative tasks such as typing, faxing, mail distribution, and phone messaging as needed.
- Organize and categorize documents within the Document Management System.
- Assist in coordinating dispatch activities, including providing driver instructions and confirming deliveries.
- Update schedules, logs, and tasks on a daily basis.
- Complete other assigned responsibilities as required.
Qualifications
- High school diploma or equivalent; some college education preferred.
- Minimum of 1 year of relevant customer service experience.
- Experience in the logistics or transportation industry is advantageous.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook at a basic level.
- Ability to type at a speed of 35 WPM and experience with ten-key by touch.
- Excellent verbal, written, and listening communication skills.
- Ability to work independently and collaboratively within a team environment.
- Proven ability to maintain confidentiality with professionalism.
- Strong customer service skills with the capability to build effective professional relationships.
- High attention to detail and accuracy in data entry tasks.
