Role Summary

The Administrative Operations Specialist plays a pivotal role in ensuring seamless organization and enhancing productivity within our software support teams and executive leadership. As a vital member of the Imagine Software team, you will contribute to our commitment to excellence and collaboration.

Key Responsibilities
  • Serve as the primary point of contact between senior management and various departments, fostering positive relationships throughout the organization.
  • Prepare presentation materials, proposals, and deliverables, including crafting presentations and reviewing documentation for accuracy.
  • Manage incoming support and system requests, conducting research and tracking payer connections; assign support tickets to designated representatives daily.
  • Comprehend customer requirements and setup specifications based on account types, ensuring timely completion of registrations.
  • Maintain accurate records of payer enrollment registrations and code lists utilized within client applications.
  • Collaborate with marketing to execute client communications effectively.
  • Oversee office communications with external vendors.
  • Generate, monitor, and follow up on EDI agreements, ensuring adherence to implementation deadlines.
  • Monitor accounts for rejections or issues related to enrollment during client implementations.
  • Adhere to documented HIPAA security protocols concerning Protected Health Information (PHI) and financial data.
  • Exhibit flexibility in handling various assignments and contribute to team efforts as needed.
  • Perform additional duties as assigned.
Qualifications
  • Associate's degree or higher preferred.
  • Minimum of 2 years of direct administrative support experience required.
  • Familiarity with medical billing processes is advantageous.
  • Knowledge of healthcare EDI enrollment procedures is a plus.
Essential Skills
  • Exceptional verbal and written communication abilities.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Experience in planning and preparing for management meetings to ensure efficiency.
  • Meticulous attention to detail and strong analytical skills.
  • Self-motivated with the capability to work independently and collaboratively within a team.
  • Consistent work history demonstrating reliability.
