Office Coordinator for Army Lake Camp

The Administrative Assistant for Army Lake Camp will be responsible for all office duties in connection with business directly related to Army Lake Camp (ALC hereafter), such as, scheduling group reservations and fielding inquiries from potential customers, overseeing related supplies purchasing, billing and record keeping, so that the activity of ALC is able to help achieve the mission of The Salvation Army.
Key Responsibilities:- General Office Duties: Perform tasks such as answering phones, filing, data entry, scheduling appointments, and other administrative tasks.
- Customer Service: Answer inquiries regarding ALC policies and services, receive and resolve complaints and/or questions and concerns from guests, and keep the Camp Director informed of critical concerns.
- Financial Management: Compile AR/AP for the Camp Director to review and sign, and then send to DHQ for processing. This may require travel to the bank and DHQ.
- Contract Management: Receive inquiries, generate contracts, and follow through by tracking deposits and signed contracts.
- Supply Chain Management: Work with vendors and order supplies for camp.
- Reporting and Statistics: Compile and submit camp stats for divisional reporting.
- Support to the Camp Director: Assist the Camp Director with tasks such as utilizing TSAMM to submit ALC matters for Divisional Finance Board approvals, monitoring accurate presentation of information on the camp website, reviewing and updating content to maximize effectiveness of the website in generating new business, and ensuring that all marketing material, rental group contracts, and other materials meet American Camping Association standards and Wisconsin State Codes.
- Security and Safety: Remain aware of and available to assist any approved visitors, unexpected vendors, or contractors who may arrive on the grounds, and remain watchful for any unexpected individuals (emergency responders, utility workers, trespassers, etc.) on the grounds and take action as appropriate dependent on the circumstances.
- Education: High School Diploma or equivalent.
- Experience: Two years' experience in office administration or customer service.
- Certifications: Valid Wisconsin Driver's License with approval to drive from TSA's insurance carrier preferred, and must become Safe from Harm certified within 90 days of employment.
