Job Description:

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our HVAC service department. This role will provide essential support to the department and may also include some responsibilities of a Service Coordinator. The ideal candidate will be proactive, possess strong communication skills, and be able to manage multiple tasks efficiently.

Key Responsibilities:

  • Answer and direct phone calls, take messages, and handle inquiries in a timely and professional manner.
  • Manage office correspondence, including emails, memos, and reports.
  • Maintain and organize department files, records, and documentation.
  • Assist with scheduling and coordinating meetings, appointments, and department activities.
  • Prepare and process invoices, purchase orders, and other financial documents.

Service Coordination:

  • Assist in scheduling and dispatching HVAC technicians for service calls and maintenance.
  • Monitor and update service tickets, ensuring timely completion and customer satisfaction.
  • Communicate with customers regarding service appointments, follow-ups, and general inquiries.
  • Coordinate parts and equipment orders with vendors, ensuring timely delivery for service jobs.
  • Maintain an up-to-date database of customer information and service history.

Qualifications:

  • Proven experience in an administrative role, preferably within the HVAC or construction industry.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using scheduling and database software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Customer service-oriented with a focus on achieving high levels of customer satisfaction.

Compensation:

The estimated salary range for this position is between $45,000 and $60,000 per year, depending on experience and qualifications.
