Position Summary

The Compensation and Benefits Specialist will play a crucial role in the daily management of the organization's compensation structure and health and welfare programs. This position is responsible for the electronic data interface between third-party benefit providers and the company's enterprise systems. The specialist will maintain benefit records and prepare necessary documentation and electronic files for benefit coverage implementation. They will also provide consultation and guidance to associates regarding eligibility, coverage, and claims processes for group insurance and related benefits. The role encompasses a variety of benefits activities that require minimal interpretation of policies and guidelines.

This position offers a hybrid work environment.

Key Responsibilities
  • Administer and oversee electronic data transmissions for all external welfare plan vendors (including health, medical, dental, vision, 401k, Health Reimbursement Accounts, flexible spending accounts, and COBRA) according to established schedules.
  • Conduct benefit orientations and assist employees with inquiries related to insurance.
  • Resolve discrepancies associated with data transmission files and liaise with vendors for problem resolution.
  • Troubleshoot technical issues related to benefits operations of the ESS/MSS portal.
  • Document, analyze, and conduct necessary testing of software programs, third-party applications, and reporting for one or more benefit programs. Act as the point of contact for software modifications by IT and HRIS teams.
  • Assist in the development of job descriptions and classification processes to ensure organizational consistency. Participate in benchmarking all job descriptions.
  • Develop effective analytics and metrics to guide program direction and assess impact and effectiveness.
  • Serve as a liaison for auditors (both internal and external) and assist with data extraction and related audits for benefits and compensation.
  • Act as the primary support for the Retirement Plans Manager in the 401k Plan reconciliation and funding processes.
  • Generate and manage various benefit reports.
  • Oversee the Tuition Reimbursement Program.
  • Assist in responding to information requests from the 401(k) Plan record keeper.
  • Support the entry of associate benefit enrollment data into HRIS as needed.
  • Create files for new hires and maintain records for active and terminated employees. Assist with the annual enrollment process.
  • Investigate and respond to Qualified Medical Support Orders.
  • Provide backup for the leave management program, including managing short-term disability payments in collaboration with payroll and third-party administrators.
  • Address benefit inquiries from managers and associates regarding plan provisions, enrollment, status changes, and general questions.
  • Support Benefit Department communication efforts as necessary to ensure timely distribution of monthly benefit communications to newly eligible associates and those transitioning in status.
  • Maintain confidentiality of proprietary information.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree in human resources, accounting, or a related field, with a minimum of 3 years of experience in benefits administration.
  • Ability to understand and respond appropriately to requests, using independent judgment to take necessary actions and provide accurate information.
  • Working knowledge of benefits-related laws and regulations (FMLA, ADA, ERISA, Section 125, COBRA, HIPAA, ACA).
  • Strong organizational skills with the ability to prioritize tasks and work independently with minimal supervision.
  • Demonstrated quantitative, critical thinking, verbal, and written communication skills.
  • HRIS experience and report writing skills are required; SAP experience is a plus.
  • Experience with file integration with external service providers.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
